Discovering challenges and issues in using Participatory Design in a requirements elicitation project and evaluating to what extend it can be used to inform system choice

Abstract

Denne oppgaven har to mål, finne utfordringer og fordeler med å bruke Participatory Design (PD) i et prosjekt for å finne systemkrav, og finne ut i hvilken grad PD kan informere systemvalg. For å finne ut av dette ble det brukt PD på en liten norsk kommune. Metodene som ble brukt i denne prosessen er intervju, prtotyping og gjennomgang av prototypen med deltakerne(walkthrough). Under prosessen av PD ble det funnet flere utfordringer og fordeler av å bruke det. En av disse fordelene er at deltakerne hadde veldig god oversikt over hvordan prosessene fungerte og som ga gode og spesifikke krav. En av utfordringene var å finne deltakere og de som var villig til å delta hadde lite tilgjengelig tid. Kravene som ble identifisert i prosessen ble brukt til å se hvilke systemer som kunne infri kravene. De tre systemene som ble vurdert var HRIS, ERP og eHRM. Fra dette ble det funnet ut at det var noen problemer og mangler ved å bruke PD til å informere om systemvalg. Det var derimot ikke det eneste som ble funnet, PD ga nyttig informasjon mot systemvalg, og det kan fra funnene i denne studien sies at PD gir nytting informasjon i valg av systemer, men har mangler som gjør at det ikke burde være den eneste metoden brukt i systemvalget.

This study has two goals, find out the benefits and challenges of using Participatory Design (PD) in a requirements elicitation project, and find out to what extend PD can inform system choice. To do this it was used PD on a small Norwegian municipality and the methods used to identify the requirements were previous studies and an interview. These requirements were put into a prototype, which was used in a walkthrough to confirm the requirements and identify more requirements. From the methods used it was discovered some challenges and benefits of using PD in requirements elicitation. Challenges such as hard to find participants and those that did participate had busy schedules, and benefits such as users have intimate knowledge of the processes which gives good and specific requirements. The requirements were then used to try and find out what type of system can fulfil these requirements. The systems types that were taken into consideration were HRIS, ERP and eHRM. This was then used to discuss to what extend PD can be used to inform system choice. From this, it was found that PD has some flaws and issues when used to inform system choice. However, PD provided useful insight that could be used to aid in system choice, but it would not be enough to be able to inform system choice on its own.
