Bedre digital kommunikasjon i prosjekteringsarbeid - Hva kan prosjekteringsleder gjøre?

Abstract

Prosjekteringsleder har i oppgave å lede og koordinere et tverrfaglig team til å dra i samme retning i prosjekteringsarbeidet. I dag finnes det mange digitale verktøy og plattformer for kommunikasjon og samhandling, og disse gir muligheter og utfordringer knyttet til hvordan et team kommuniserer godt og effektiv. Til tross for mange muligheter kan man spørre seg om prosjekteringsleder og prosjekteringsgruppa utnytter de digitale kommunikasjonsverktøyene fullt ut. Hvordan er det å lede prosjekteringsarbeidet i dagens kontekst? Kan man som prosjekteringsleder tenke og handle på samme måte som man gjorde for noen år siden? Eller bør man flytte fokuset på andre deler av lederrollen når digitale kommunikasjonsverktøy benyttes?

Denne masteroppgaven er skrevet i samarbeid med ViaNova, og fokuserer på samferdelsebransen. Oppgaven har til hensikt å undersøke hvordan prosjekteringsleder kan bedre den digitale kommunikasjon i en prosjekteringsgruppe. Problemstillingen er;

Hvordan kan prosjekteringsledere bruke digitale verktøy og metoder for å bedre den digitale kommunikasjonen i prosjekteringsgruppa?

Oppgaven arbeider etter to forskningsspørsmål; 1) Hvordan praktiserer prosjekteringsledere digital kommunikasjon og samhandling i dag? 2) Hva kan forbedre dagens praksis?

Disse forskningsspørsmålene besvares for fire sentrale prosesser innen kommunikasjon; koordinering, felles kultur, beslutninger og erfaringsdeling. Gjennom intervju med fem prosjekteringsledere og en spørreundersøkelse blant prosjekterende, diskuterer oppgaven hvilken praksis som er gjeldende i dag, og hvordan prosjekteringsleder kan bruke verktøy til å forbedre den digitale kommunikasjonen og samhandlingen. Basert på resultatene i denne studien kan prosjekteringsledere bedre den digitale kommunikasjonen i prosjekteringsgruppa gjennom å bruke digitale verktøy og metoder på følgende måte;

- Øke bruken av kommunikasjonskanaler som kan formidle rik informasjon, som for eksempel video. Dette vil bidra til økt forståelse, bedre forankring og bedre samhandling i en koordineringsprosess. - Fokusere mer på kulturbygging. Det gir en gruppe som lettere drar i samme retning. Gjennom å benytte verktøy som gir tilgang til hele mennesket og mulighet til å være uformell, vil kultur og tillit lettere kunne etableres. - Bruke verktøy som er «åpne» og rustet til å dele informasjon med mange. Dette bidrar til enklere deling og samhandling i forbindelse med beslutninger. - Prosjekteringsleder bør bidra til at digitale arenaer og verktøy for å drive erfaringsdeling og opplæring finnes i prosjektet.

Som et bidrag til bransjen har denne masteroppgaven utarbeidet en sjekkliste som hjelp til prosjekteringsledere. Med sjekklisten kan man i egne prosjekter vurdere om man har lagt opp til en bruk av verktøy som legger til rette for god digital kommunikasjon og samhandling.

The design manager’s task is to lead and coordinate an interdisciplinary team, so that they together pull in the same direction in the design process. Today there are many different tools and platforms for communication and interaction, and all of these provide opportunities and challenges related to how a team communicates. Despite all the opportunities these tools and platforms provides, one could wonder whether the design manager and the design team make full use of the tools. What is it like to lead a design process in today’s context? Could you, as a design manager, think and act in the same way that you did a few years ago? Or should you focus on other parts of the management role when digital communication tools is in use?

This master’s thesis is written in collaboration with ViaNova and focuses on the transportation industry. The thesis aims to examine how the design manager can improve the digital communication in a design team. The issue for this thesis is:

How can design managers use digital tools and methods to improve the digital communication in the design team?

The thesis has two research questions to answer the main issue: 1) How do design managers practice digital communication and interaction today? 2) What can improve current practice?

In this thesis these research questions are answered in the context of four key processes in communication: coordination, common culture, decisions, and experience sharing. Through interviews with five design managers and a survey among designers, the thesis discusses current practice and how design managers can improve the use of digital tools to communicate and interact digitally. Based on the results in this study, design managers can improve the digital communication in the design team by using the digital tools and methods in the following way:

- Increase the use of communication channels that can convey rich information, such as video. This will contribute to a better understanding, better anchoring, and better interaction in a coordination process. - Focus more on establishing a team culture. This will create a group that more natural pulls in the same direction. By using tools that give access to the whole person, and the opportunity to be less formal, a team culture and trust can be built more easily. - Use tools that are “open” and have the possibility to easily share information with many others. This contributes to an easy way of sharing and interaction in decision making. - The design manager should contribute to ensure that there are digital arenas and tools in the project where the team members can share experiences and knowledge.

As a contribution to the industry, this thesis has made a check list to help design managers to assess their own projects whether there are tools available in the project that support the findings on good digital communication.
